Credentialing for Vendors and Non-Employees Providing Care, Treatment or Services at MidMichigan Health

MidMichigan Health has implemented a credentialing policy (111.60) to ensure that all non-employees are appropriately screened, oriented, and receive training in MidMichigan Health policies prior to providing care, treatment, and services at any MidMichigan Health affiliate. A non-employee is defined as a vendor, student, or medical associate.

This policy will help improve patient safety by assuring that non-employees are who they say they are, are trained to provide the care, treatment, and services we expect them to provide, and have the appropriate clearance to be in the MidMichigan Health area(s) we expect them to be in. It will benefit non-employees by facilitating access to MidMichigan Health facilities and personnel to conduct business.

How the Credentialing Process Works at MidMichigan Health

Non-employees are required to follow the process below for obtaining credentials BEFORE providing care, treatment, and services at MidMichigan Health. You may want to print this table for reference, as some of these steps will link you away from this page.

Step 1

Determine the appropriate category for the care, treatment, or services you intend to provide. See Table 1 below.

Step 2

Review the requirements for your category. See Table 2 below.

Step 3

Go to the Student Passport Alliance (SPA) Web site at www.studentpassportalliance.com and complete the following steps:

  1. Follow the on-screen instructions to complete the required orientation modules. These modules will be checked off as you review them.
  2. After completing all mandatory modules, you will be prompted to register. When the application prompts you to choose a "Participating School," please choose "MidMichigan Health Vendor Certificate."
  3. After registering, follow the link from the Student Passport Alliance Web site to review the "Additional Information that Non-Employees Must Know." Then click the "Certify and Return to SPA Web site" link to return to the Student Passport Alliance Web site.
  4. Print your SPA certificate.

(Note: We understand you may not be a student.  However, the Student Passport Alliance is the chosen software at this time for documenting your review of the non-employee orientation material.)

Step 4

After printing your SPA Certificate of Completion, print a copy of the Non-Employee/Vendor Passport (PDF, 81KB). Complete the top portion of this passport and obtain your employer's signature where indicated.

Step 5

Submit the original copies of your SPA Certificate of Completion and your Non-Employee/Vendor Passport to the MidMichigan Health manager or designee of the department/area where you will be working at each MidMichigan Health affiliate. This verifies that the correct category has been assigned.

Important: Please bring completed copies of both documents to the MidMichigan Health manager or designee. Unsigned documents will not be accepted.

Step 6

The MidMichigan Health manager or designee keeps a copy of the certificate in their department and submits the original to the corporate Human Resources department in Midland.

Step 7

The corporate Human Resources designee enters the certificate information in the tracking database. It will be updated annually.

Step 8

The MidMichigan Health manager or designee will coordinate all additional orientation and/or training with the system education team.

Step 9

All vendors and non-employees are required to follow MidMichigan Health's Identification and Check-in Policy (PDF, 36 KB) at all times when providing care, treatment or services on all MidMichigan Health campuses.

Step

10

Complete the credentialing process each year by June 1. You will receive notification around March 1 of the subsequent year regarding re-credentialing from the management or designee of the area where you are providing care, treatment or services.

Table 1: Non-Employee Categories

MidMichigan Health has developed four (4) unique categories for non-employees providing care, treatment, and services. Each category has its own requirements that must be met.Plase review the table below to determine the category that best fits you.

Category 1

Non-employees providing care, treatment, and services in public areas only without a clinical role.

Examples:

  • Flower delivery personnel
  • Pizza delivery personnel
  • Educational speakers

Category 2

Non-employees providing care, treatment, and services with access to public areas and private offices with no clinical roles and no patient contact.

Examples:

  • Contractors
  • Pharmaceutical Representatives
  • MidMichigan Health Volunteers (no drug screening required)
  • Service Personnel
  • Marketing Personnel
  • Food Service Personnel
  • Laundry Services Personnel
  • Documentation Destruction Personnel

Category 3

Non-employees providing care, treatment, and services with access to high risk security areas and with some patient contact but no direct patient care.

Examples:

  • Company/Vendor Representative in the Operating room
  • Forensic Staff
  • Invasive Imaging Representatives
  • Genetic Counselors
  • Equipment Representatives
  • High School and College Students in non-direct care roles are not covered under Job Shadow policy 301.61
  • Community Clergy providing Chaplaincy Services, Community Mental Health Personnel

Category 4

Non-employees providing care, treatment, or services with access to high risk security areas, and/or with direct patient contact and direct patient care.

Examples:

  • Pacemaker Representatives
  • Open Heart Perfusionist
  • Hospice
  • Tissue/Organ Bank employees
  • Cataract Service Personnel
  • Orthotic Representatives
  • All Clinical Students, Medical Residents without permanent medical license are not covered under Job Shadow policy 301.61
  • Medical Associates

Table 2: Requirements by Non-Employee Categories

The table below illustrates the minimum requirements for each Non-Employee category. Any non-shaded cell indicates a requirement for that category. Non-employees in categories 3 and 4 may have additional requirements for the areas in which they intend to provide care, treatment, and services. Any additional requirements can be obtained from the area MidMichigan Health management or their designee.
